Job Description

This role is varied and interesting, working in a busy office with a friendly and supportive team providing HR services to all College staff. The postholder will undertake a wide range of general administrative tasks to support a busy HR function which includes payroll; recruitment; staff training & development. On the job training in basic HR service and disciplines will be provided to the successful candidate.

You will already have experience of working in an administrative environment and have exceptional customer service skills; strong IT skills; and be sensitive to the disciplines of compliance and confidentiality.

A Business Administration qualification at level 2 or above (or equivalent/experience) and GCSE Grade C or above in Maths and English (or equivalent Level 2) are essential for the role.

Key Tasks / Responsibilities

Job Purpose:  

  • To be responsible, as part of a team, for the day to day operation of the Personnel function, ensuring that the department provides an efficient, effective and responsive service in all aspects of its wide-ranging remit.

The postholder will undertake a wide range of general administrative tasks to support a busy HR function which includes payroll; recruitment; staff training & development. On the job training in basic HR service and disciplines will be provided to the successful candidate.

Key Tasks / Responsibilities:

  1. Ensure all personnel information systems including personal files and other records are maintained and kept up to date, maintaining the confidentiality and security of all records held within the Personnel & Professional Development Department.

  2. Handle administrative tasks connected with appointments and leavers, and provide general administrative, secretarial and clerical support to the department.

  3. Handle administrative tasks connected with staff training and development, including managing the database for essential compliance training, sending reminders and booking staff onto relevant sessions.

  4. Deal with correspondence and enquiries from telephone and personal callers, providing general and specific advice and guidance as appropriate and liaising with staff in other departments in a professional and helpful manner as necessary.

  5. Collect and collate information and prepare statistical returns as required for internal College and external use.

  6. Administer all personnel procedures in accordance with College policies and current legislation and develop knowledge to provide basic accurate advice to staff on these procedures as required.

  7. Adhere to Data Protection legislation and the College’s Data Protection Policy in the collecting, distribution, recording, maintenance and storage of staff personal data.

  8. Support the operation of the College’s computerised personnel and payroll system, working with the Payroll & Pensions Coordinator and/or Senior Administrator to complete tasks required for the monthly payroll schedule accurately and on time.

  9. Develop and maintain effective working relationships with team members and colleagues from departments across College.

  10. Undertake specific tasks and projects as directed by the Director or Deputy Manager.

  11. Other duties commensurate with the grade of the post as required.

Skills & Experience Required

Experience 

Essential - Measured by application form and interview

  • Experience of working in a busy administration team covering a wide range of duties

Desirable - Measured by application form and interview

  • Experience of working in support or alongside HR

Qualifications

Essential - Measured by application form

  • Business Administration level 2 or above (or equivalent qualification / experience)
  • GCSE Grade C or above in Maths and English (or equivalent Level 2)

  • Excellent computer skills including the use of spreadsheets, databases and word processing packages

  • Aptitude for problem-solving
  • Ability to deal tactfully and sensitively with customers and colleagues
